Communication distribution, defined as flyers, emails, web postings, and Monday minutes, related to a PTO event would need approval by the PTO communications team and then by the principal of the school before distribution. Examples are the book fair and breakfast buddies etc. The communication may not contain any overt business advertising however we may acknowledge the donations made by businesses.
Communications related to events/activities that are co-sponsored by the PTO and another organization etc. must be approved by the superintendent, the principal and the PTO communication team. Examples of co-sponsored events would be the Cub Scout recruitment and the Anton's coat drive. The communication may not contain any overt for-profit business advertising.
Communication regarding a non-PTO sponsored event should be directed to the principal and superintendent for consideration. The PTO is not involved in the distribution of these communications. Girls scouts & DI are examples of this. However, the PTO, as a service to our parents, may include district events, town and local program announcements in the Monday minutes/PTO web site only if they are relevant to our community. No business advertising accepted.
All PTO communications are reviewed and approve by the PTO communications team and the principal before they are posted or distributed. All of the above communications should be sent to the PTO communications email account at email@example.com by 5pm on Fridays for distribution the following week. During the course of planning a PTO event or activity, discussions and approvals with the principal and PTO board, or in a PTO meeting should be made. This does not replace the above review and submission requirements for communications to the students/parents. The final communication product must still be submitted to the communications account for the review process.
We cannot accept specialized images and fonts for postings in the Monday minutes. Flyers will be posted on the web as PDF's when posible.
Monday minute announcements and web postings are typically posted on mondays. Physical flyers are distributed on wednesdays. Email distributions are typically sent on wednesdays.
Sargent PTO has made a commitment to our kids and the environment to go green. As such the first avenue of communications will be posting information via the web site and/or the use of survey monkey. In some instances a paper version of the communication may be necessary. These are scheduled to go out on Wednesday mornings to the teachers in-boxes. Mail carriers will be used where at all possible. Once the flyer is approved the submitter will be notified and should have the copies sorted by class & delivered to the office by the end of the day on tuesday for distribution to the teacher boxes on wednesday.
